Admin Guide: Updating the Training

A plain-English, step-by-step guide to changing the words in a module, editing a quiz, and managing your team. No coding needed.

1. The two tools you'll use

Everything you do lives in two screens. Both are reached from the training app once you're signed in as an admin.

The Content Editor

This is where you change the words in a module and edit the quizzes. Find it on the Dashboard: look for the Edit content link.

The Content Editor only works on a desktop or laptop computer. It will not open on a phone. Use a real keyboard and a big screen.

The Dashboard

This is where you see how your baristas are doing and manage people. From the training home screen, tap Admin dashboard → in the top corner.

Don't see those links? You need admin access. Ask a Super Admin to turn it on for you (they'll find a "Make super admin" button next to your name on the Dashboard). The Content Editor specifically needs Super Admin.

2. What you can and can't change

You CANChange the words in any module. Edit quiz questions, answer choices, and the correct answer. Reorder modules and screens. Move a module to a different level. All by yourself, no coding.
You CAN'T (yet)Add a brand-new module, add or delete screens inside a module, or change the colors, layout, or design. Those need the developer (see the last section).
Good news: every change you save goes live in the app right away. There is no "publish" button to remember, and you can't break the design. The editor keeps the formatting locked so it always looks right on a phone.

3. Change the words in a module

This is the most common thing you'll do. Say a phone number changed, or a recipe number is wrong. Here's the whole flow.

  1. Open the training app on a computer and sign in with your phone number, the same as a barista would.
  2. Go to the Dashboard. On the home screen, tap Admin dashboard → in the top-right.
  3. Open the editor. On the Dashboard, click Edit content.
  4. Pick the module you want to change from the list on the left side.
  5. Find the text box for the words you want to fix, click into it, and type your change, just like a Word document.
    • Each box is one piece of the module: a heading, a subtitle, a paragraph, a bullet point, or a callout.
  6. Watch the little number in the corner of the box. It counts your characters.
    • You can't make a heading or subtitle longer than it already is. That's on purpose, so the text never gets cut off on a phone. If you need more room, shorten something else or keep it tight.
  7. Click Save when you're happy with the module.
  8. Check your work. Open that module in the training app (on your phone is fine) and read it to make sure it looks right.

4. The colored callout boxes

Those little colored boxes with an icon are called callouts. Each module has a few. When you edit one, you pick its type from a dropdown. The type sets the color and the icon automatically. Pick the one that matches what the box is saying:

To change one: click into the callout's text box to edit the words, and use the little dropdown next to it to change the type. Then Save.

5. Edit a quiz

Every module ends with a short quiz. You control the questions and the answers.

  1. In the Content Editor, pick the module, then click the Quiz tab.
  2. Change a question's wording by clicking into it and typing.
  3. Change the answer choices the same way. Each question has a few options.
  4. Mark the correct answer by selecting it (a checkmark or dot shows which one is right).
  5. Add or remove a question using the add/remove buttons. Keep questions clear and short.
  6. Click Save.
The correct answers are kept secret on the server and the answer order is shuffled every time, so baristas can't peek or memorize positions. A barista must get 100% to pass and unlock the next module.

6. Reorder modules, move levels, reorder screens

You can change the order things appear in, and which level a module belongs to.

Reorder the modules

  1. In the Content Editor's left-hand list, grab a module by the grip handle (the ⠯ dots) and drag it up or down.
  2. To move a module to a different level, use its Level dropdown (Level 0, 1, 2, or 3).
  3. When the order and levels look right, click Save order & levels.

Reorder the screens inside a module

  1. Open the module. The screens are listed in order.
  2. Drag a screen up or down by its grip handle to change where it appears.
  3. Save. (You can reorder screens, but you can't add or delete them here.)

Order matters for the baristas: they move through modules one at a time, in order. If you move a module earlier, everyone reaches it earlier. Change the order thoughtfully.

7. Undo a change (Reset)

Every module has an original version built by the team. If you want to throw away your edits and go back to that original:

  1. Open the module in the Content Editor.
  2. Click Reset (revert to original).
  3. The module goes back to how it started. Your edits are gone.

Reset only affects the one module you're looking at. It's the safety net if an edit goes sideways.

8. See how your team is doing

The Dashboard shows every barista's progress. Open it from the home screen: Admin dashboard →.

  • People view lists each barista. Click a person to expand their record and see which modules they've passed and how long they spent.
  • Rollup view is the big grid: baristas down the side, levels across the top, and a colored percentage in each cell so you can see the whole team at a glance.
  • Use the company filter to focus on one location, and Show archived to include people who've left.

9. Manage people

On the Dashboard, each person's card has buttons. What you can do depends on your role.

  1. Make someone an admin. Click Promote to turn a barista into a company admin (they can then see the Dashboard for your location).
  2. Fix a name or phone. Click Edit name or Edit phone to correct a typo. The phone is the number they log in with, so update it if someone changes their number.
  3. Someone left? Click Archive to hide them from the list. Unarchive brings them back. Archive is the safe choice: it keeps their record.
  4. Delete for good. Click Delete to permanently remove a barista along with their progress and quiz history. This can't be undone, so use Archive unless you truly want them erased.
  5. Make a Super Admin. A Super Admin can do everything, including edit content. Only an existing Super Admin can grant this, with the Make super admin button.

Roles, simply: a Barista just takes the training. A Company Admin can also see the Dashboard for their location. A Super Admin can do everything, including edit the content.

10. The training order & the "Free roam" switch

Baristas go through the training in order. Each module unlocks only after they pass the one before it. They can't skip ahead.

As an admin, you have a Free roam switch in the top corner of the home screen:

  • Free roam: off — you see the real experience a barista gets, locked and in order.
  • Free roam: on — every module unlocks so you can jump around and preview anything.
Flip Free roam on to review or spot-check any module without doing them in order. Flip it off to see exactly what a new barista sees. It only affects your own account.

11. When to call the developer

The editor covers day-to-day changes. A few things need a developer's help:

  • Adding a brand-new module, or adding/removing screens inside a module.
  • Changing the design, colors, or layout.
  • Anything that looks broken or won't save.
